How to Escalate a Southwest Airlines Complaint
The following steps are practical suggestions for organizing a complaint. They do not guarantee a refund or a particular outcome.
- Handle the immediate travel problem first. If you are at the airport, ask a Southwest representative about your available options. Explain whether you still want to travel, need accessibility assistance or want to understand cancellation options. Save any written offers before choosing.
- Gather the trip record. Have the confirmation code, flight number, travel date, route and passenger name available privately. Add the original itinerary, notices of schedule changes, relevant receipts and any existing case number.
- Describe the specific issue. State what happened, when it happened and what staff told you. Distinguish a late arrival from a missed connection, a seat charge from a baggage charge, and a refund request from an expense-reimbursement request.
- Submit one clear written account. Use Southwest’s official contact options. Explain the result you are seeking, such as review of an unused ticket, a charge correction or an explanation of a decision. Attach only documents relevant to that request.
- Follow up using the existing case. Keep the acknowledgment and ask which team is reviewing the matter. If a response does not address your question, identify what remains unanswered and request further review.
Southwest’s Customer Service Plan says written complaints will be acknowledged within 30 days and receive a substantive response within 60 days. Those are complaint-response periods, not a promise that every refund or baggage claim takes that long.

Southwest Refunds, Disruptions and Third-Party Bookings
Is an airline cancellation different from canceling my own trip?
Yes. Under DOT’s refund guidance, a canceled or significantly changed flight can qualify for a refund when you choose not to travel or accept an alternative such as a travel credit. Voluntarily canceling a nonrefundable ticket when the flight operates normally is a different situation.
Before accepting an alternative, ask what it means for the unused ticket and any paid extras. Save the original and revised schedules. If you still travel, do not assume that dissatisfaction with the experience automatically produces a full airfare refund.
What should I include in a reimbursement request?
Separate the unused ticket amount from meals, lodging, transportation and other expenses. List each expense with its date and receipt, and explain why it arose. Ask whether the disruption was considered within Southwest’s control and which policy applies. Its Customer Service Plan describes assistance for qualifying disruptions; it does not promise the same amenities for every cause of delay.

Who handles a ticket booked through a travel agency?
Check your receipt and payment statement to identify the seller. DOT explains that an airline or ticket agent acting as the merchant of record is responsible for airfare refunds when due. Southwest Baggage and Seating Questions
Older descriptions of Southwest’s policies can cause confusion. Its annual report confirms that assigned seating began on January 27, 2026, and that checked-bag fees were introduced for most fare products for tickets booked, ticketed or changed on or after May 28, 2025. For delayed, missing or damaged checked baggage, report the problem promptly through Southwest’s baggage assistance process and retain the report number. Record the bag-tag number, arrival time and damage photographs. Ask about reporting deadlines and necessary documentation before paying for repairs or making substantial replacement purchases.
